DMS functions: Import, Viewing, Imaging, Document Management, Retrieval, Archiving/Saving, Groupware and Workflow. All archived documents will be managed through a simple to operate user interface in freely definable folders. 1.Import Scan in from documents with a TWAIN-compatible scanner. Import with drag&drop from all OLE-capable programs. Import with drag&drop, copy&paste from MS-Window Explorer. Load image data from all OLE-capable programs. Load user data (doc, xls, etc.). Fill out document forms with databank data. Import e-mails and faxes through direct connection with MS Outlook (available in next update). 2. Viewing, Imaging, Editing The display, editing and reuse depends upon the user software connected with the document. Viewing and editing of image data depend upon the user software connected with the document. Even after archiving, documents and images remain connected with user software. All functions of the user software, such as printing, faxing and sending of e-mails, are available. Contents can be copied to the Clipboard and inserted in other documents. 3.Document Management Document protection and security follow from user authorization of the databank application. Whoever has the right to see the data can also access the affiliated documents. Documents can be set in the directory to "read only" or be hidden (user defined). Single documents can be deleted by authorized users. Documents can be saved as copies outside the DMS Archive. Check-In/Check-Out: Upon check-out of a data file, the first user will be granted editing rights; second or further users can only have "read only" access or can save changes in a copy of the file. The check-in/check-out function prevents overlapping changes to a document. 4. Retrieval The access to archived documents is possible from every ComServer.i.Net DMS workplace. Folders with the ending "*.OFD" can also be opened directly in MS Windows Explorer (see authorization rights in MS-Windows). You can search for and find documents on the basis of document context (your company data bank set) and were ordered by user), not according to the indexing of the document contents. For this, ComServer.i.Net offers the function "adhoc query" above every data bank field. 5.Archiving/Saving Archives are "usual" directories in the MS® Windows® network and are subject to no further restrictions. Archives are protected by MS® Explorer user rights and password protection against unallowed access. The number of users and memory capacities and storage media correspond to network and computer capacities. The data location in the network will be defined upon initial use and can be subsequently changed. Archiving locations are distributable. Archives can be moved with MS® Explorer, saved to ZIP drives, secured, deleted, protected with a password, etc. Name and file designation(suffix-middle-prefix) in the archive will be defined upon creation of the archive. When a document is saved, a self-explanatory folder name will be made from the defined "suffix-middle-prefix" parts. Documents with the prefix "OFD" can be opened directly from MS® Explorer (see authorization rights in MS-Windows). 6.Groupware ComServer.i.Net DMS offers comfortable interfaces to MS-Outlook. Hereby the archived documents can be sent as files to the user or distributor. When sending in file format, user data (for instance, Word documents) will be in original format; image files will be attached in selected image format. 7.Workflow Documents can be displayed in the databank through data- or marked fields for future editing.
